Details of Membership
We meet 4 times a year on the third Tuesday in February, May, August and November
from 5:30-6:30 pm at CynShea's Catering located at 415 Church Street, Huntsville, 35801
- Each member must commit to donating $100 per meeting ($400 per year)
- Each member must agree to support the charity chosen by the majority vote of all members in attendance at the quarterly meeting, even if it is not the charity you voted for.
- Members will make their checks payable directly to the non-profit chosen. The non-profit will provide a blanket receipt for tax purposes that will be emailed to members after the delivery of donation to the non-profit. Cash will also be accepted if preferred by member.
- Two individuals may join as a "Partnership Member." The two members have one vote only, and make up the $100 donation collectively. If one partner leaves the organization, the second partner must have a new partner to make up the Partnership Member status.
- The donations will be given to charities/non-profit organizations/worthy causes serving Madison County.
- No national charities will be considered. The purpose is for the majority of our contributions to stay in our community.
- A member wishing to submit a local charity/program/non-profit will submit a nomination form by the first day of the month of the next quarterly meeting in order to be considered that quarter, and to allow time for the charity/non-profit to be pre-qualified.
- A member may only have two non-profits nominated.
- One week prior to the quarterly meeting three names will be drawn from the hat to present at the next meeting. The email announcing the three names will be submitted to membership at least three days prior to the meeting.
- Each of the three members drawn from the hat will be given seven (7) minutes to present information on the charity/program/non-profit she is promoting. There will be five minutes provided after each presentation for members to ask questions.
- Only the presenter is allowed to answer questions. The presenter may not defer questions to another member of the group.
- By ballot, the group will vote, with the understanding that the majority rules. Each member agrees to donate to the chosen cause regardless of her personal views.
- You must be a member in good standing to vote at a quarterly meeting, meaning that donation checks for all meetings have been received.
- You must be present at a meeting to vote; however, if you send your check with another member, she will be allowed to vote on your behalf.
- If you miss the meeting, you will be notified via email after the meeting the non-profit chosen and the address to mail your donation. You will have 15 days to submit your donation for delivery to the non-profit.
- The two non-profits who are not selected at the meeting, will go back into the hat at the next quarterly meeting.
- The non-profit chosen will not be eligible again for 18 months.
- Lobbying for a favorite organization prior to the meeting is not allowed.
- The charity/program/non-profit will have to agree NOT to use the names of the members for future solicitations or give the information out to the public. If the charity does not adhere to this condition they will be removed from any future consideration.
